This Privacy Policy explains how Optimal Power Solutions, LLC (“OPS,” “we,” “us,” or “our”) collects, uses, discloses, and protects information about you when you visit our website, request electrical services, or use our client portal. We provide electrical contracting services in Jacksonville & Northeast Florida. We collect only the information we need to provide our services and meet our legal obligations (data minimization).

1. Information We Collect

  • Contact & request details. Your name, email address, phone number, service/property address, and a description of the work you need, when you submit a request or contact us.
  • Account information. If we create client portal access for you, your email address and authentication credentials, managed by our authentication provider.
  • Project & site information. Records relating to your properties, estimates, contracts, invoices, permits, project documentation, and site photographs.
  • Payment & billing information. Invoices and payment records. Sensitive payment-card data is handled by secure third-party payment processors; we do not store full card numbers ourselves.
  • Electronic-signature records. When you electronically sign a document, we record your name, email, the date and time, the document version, and technical information including your IP address and browser/device, as evidence of the signature.
  • Technical & usage information. We use strictly necessary first-party cookies to keep you signed in and to operate the site securely. We do not currently use third-party advertising or analytics trackers.

2. How We Use Your Information

  • To respond to inquiries and provide quotes, estimates, and services.
  • To schedule, perform, and manage electrical work and projects.
  • To create and administer portal accounts and process documents and signatures.
  • To prepare estimates, contracts, and invoices and to process payments.
  • To communicate with you about your requests, projects, and account.
  • To secure and operate our website and systems.
  • To comply with legal, tax, licensing, and recordkeeping obligations.

3. How We Share Information

We do not sell your personal information. We share it only as needed to operate our business, including with: service providers who host our website, database, file storage, payments, and e-signatures, under obligations to protect your information; professional advisors and subcontractors where reasonably necessary to perform or support your project; and authorities or other parties when required by law, legal process, or to protect our rights, safety, or property.

4. Cookies & Tracking

We use only strictly necessary, first-party cookies required to keep you signed in and to operate the Services securely. We do not currently use third-party advertising, cross-site tracking, or analytics cookies. If that changes, we will update this Policy and provide any required choices.

We apply reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption of data in transit, access controls and least-privilege handling, row-level data isolation so clients can access only their own records, and private storage for uploaded documents. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as needed to provide our services and to meet our legal, tax, licensing, and recordkeeping obligations, applying the longest applicable retention period. Financial and signed records — such as contracts, signatures, and invoices — are retained for the period required by applicable Florida and federal law (including the applicable statute-of-limitations and warranty periods) and are not deleted earlier, even when an account is closed. We dispose of information securely when it is no longer required.

7. Your Choices & Rights

You may access and review much of your information directly through your client portal. To request access to, correction of, or deletion of your personal information (subject to records we are legally required to keep), contact us using the details below. We will verify your identity and respond consistent with applicable law.

8. Florida Residents & Breach Notification

We handle personal information in accordance with the Florida Information Protection Act (Fla. Stat. § 501.171). In the event of a breach of security affecting your personal information, we will provide notice to affected individuals without unreasonable delay and within the time required by law (generally no later than 30 days), and we will notify the Florida Department of Legal Affairs where a breach affects 500 or more Florida residents.

9. Children's Privacy

Our website and services are intended for adults and are not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will take appropriate steps to delete it.
